Ascensio System SIA (headquartered in Latvia) announces the new v2.0 version of ONLYOFFICE DocSpace on December 4, 2023. The upgraded ONLYOFFICE DocSpace includes a new type of room for public sharing, enhanced room management, more functionality plug-ins, more intuitive profile pages, data reassignment, more hot keys, expanded developer tools, and more.

Public Rooms

The newly added Public Room makes it easier to work on documents with third parties. Users can be invited via an external link to view files without registration. If necessary, users can generate multiple external links with different parameters to set various permissions. To protect documents in the Public Room, password protection, file content copy restrictions, and file download and print restrictions are available.

Besides, the Public Room can be embedded in any web interface through developer tools. Thus, users of the corresponding website or service can access the room files directly from the web front-end.

■New features for room management

ONLYOFFICE DocSpace 2.0 adds the ability to create rooms based on personal files and folders. If only one folder is selected, its contents will be copied to the created room.

Further new options for room management include room downloads, filtering of trash by room, and the ability to exit from a room and change the room owner.

■ Reassignment of data

From now on, ONLYOFFICE DocSpace administrators will be able to reassign files stored in rooms and rooms belonging to users in inactive status. The reallocation of data will be made to the administrator who is performing the operation. It is also possible to manually select another user to reassign to.

This feature allows the user to choose whether or not to delete the user upon reassignment. If a user is deleted and data is reassigned, the user's personal files will be deleted. To abort the reallocation process that has already started, click the corresponding button.

The latest update incorporates system plug-ins that can extend the functionality of DocSpace. These plug-ins can be enabled by DocSpace owners and administrators using the integrated settings. Enabled plug-ins are available to all users.

The current version includes a PDF converter that converts text documents, spreadsheets, slides, and forms to PDF; draw.io, which creates professional-level diagrams; and a plug-in that converts audio and video files to text.

■New Design of Profile Pages

To make navigation within user profiles more intuitive, the developers have organized all personal settings into four tabs. The "Login" tab tracks active sessions and allows users to log out if necessary. Notifications can be enabled or disabled on the corresponding tabs. Switching between light, dark, and system themes is done in the Interface Themes tab.

The File Management tab consists of settings moved from the left panel, for example, the option to save a copy of a file in its original format as well can be enabled.
